Job Description: Operations Assistant
Scope
- Monday to Friday, 8am to 5pm Minneapolis, MN time with an hour unpaid break
- Manage and prioritize multiple communication channels simultaneously
- Contribute to the growth of the company through effective lead generation and client acquisition
- Ensure smooth information flow between clients, case managers, and internal departments
- Maintain accurate and up-to-date records of client interactions and inquiries
- Adapt to evolving business needs and take on additional responsibilities as required
Responsibilities
- Generate and follow up on leads for home healthcare services
- Communicate effectively with case managers and potential clients
- Manage booking and intake processes for new clients
- Respond promptly to emails and inquiries across various platforms
- Engage with and grow the company’s social media presence
- Handle incoming phone calls and direct them to appropriate departments
- Perform client-facing tasks and address customer needs
- Assist with case management follow-ups and documentation
- Draft detailed emails and reports for internal and external communication
- Utilize various communication tools (email, text, WhatsApp) for efficient outreach
Requirements
- Excellent written and verbal communication skills in English
- Proficiency in using various digital communication platforms and tools
- Strong attention to detail and ability to multitask
- Comfortable with making cold calls and engaging in phone conversations
- Quick learner with the ability to understand and articulate healthcare services
- Experience in customer service or administrative support roles preferred
- Familiarity with HIPAA compliance and healthcare regulations a plus
